How DynamicSignature Add-in works

DynamicSignature combines a centrally deployed Outlook add‑in with a cloud service that applies the right signature whenever a user writes an email. IT deploys the add‑in once to the tenant, and from then on Outlook uses DynamicSignature instead of its built‑in signature feature.

  • The add‑in appears directly in the Outlook compose window, so users see their final signature as they write

  • For each message, the add‑in retrieves the correct signatures for the given user from the DynamicSignature cloud API service in real time

  • Signatures can be deplyoed to all platforms now, including mobile devices, and New Outlook.

Benefits for IT

DynamicSignature removes the overhead of chasing users about signatures, GPO scripts and local Outlook quirks. It gives IT one predictable way to handle signatures across the different Outlook clients users prefer.

  • Central control
    • Manage all Outlook signatures from a single admin interface (DS-Manager), instead of relying on local signatures on every PC
    • Use AD as the single source of truth for user data, so job titles, phone numbers and departments stay accurate automatically
  • Simple deployment and less support
    • Deploy the add‑in centrally to groups or the whole tenant, without touching individual devices, using DS-Batching Services
    • Reduce signature‑related tickets because users no longer break or lose their signatures when Outlook changes or devices are replaced
  • Ready for New Outlook and cross‑platform
    • Aligns with Microsoft’s add‑in model so signatures work in New Outlook and Outlook on the web, not just classic Windows clients
    • Supports mixed environments where some users are still on classic Outlook while others move to newer clients
